PPC Special Events Logistics

Summary of Duties: The position shall plan and coordinate multiple complex public engagement activities, utilize extensive knowledge of U.S. and foreign government regulations, international cultures and customers, policies and procedures.

Specific duties:

  • Participate in planning meetings and communications; anticipate requirements and make recommendations (i.e., date, geographic location, venue, participants, products and budget).
  • Organize and manage a multi-disciplined team (i.e., facilities, marketing, communications, graphics, security, transportation, etc.) to implement the plan.
  • Collect, integrate and disseminate information to stakeholders to ensure adherence to the plan. The work includes varied duties requiring the application of standard communication and analytical methods and techniques in conveying information.
  • Assist in developing, recommending and implementing administrative policies, plans, and procedures designed for maximum flexibility and effectiveness, and provide overall support of the application of these guides
  • Research and evaluate potential venues (including site inspections) and make recommendations of preferred venue or site to customer based on customer requirements for activities (e.g., budget, group size, format, site accessibility, aesthetics and A/V requirements, security clearances, etc.).
  • Strengthen internal and external customer and supplier network.
  • Implement and direct the various support activities required for public engagement activities such as logistics for complex and/or highly visible visits/events
  • Apply extensive knowledge of customer’s customs and cultures in all aspects of public engagement activities. Provide advice and recommendations, and take appropriate action to incorporate U.S. Government, NASA, and KSC protocol customs and cultures when planning events and activities.
  • Provide on-site management of resources for public engagement activities.
  • Explain policies and/or procedures on public programs to staff and representatives, and ensure compliance of these policies.
  • Compose and update brochures, leaflets, handouts, fact sheets and other publications for use by employees, internal communications, outreach, and visitors.
  • Develop and prepare weekly notes, tour reports, and databases for office use such as metrics, Look Ahead Report, and other strategic communication
  • Facilitate process improvements based on in-depth analysis of feedback. Provide suggestions and inputs to the work group on process improvement matters.

Knowledge, Skills, and Abilities :

  • Bachelors Degree in the related field from an accredited educational institution or possess a minimum of 2 years of equivalent professional experience.
  • Microsoft Office Products with strong emphasis Word, Excel, PowerPoint, and SharePoint
  • Strong research, writing, analytical, and presentation development skills
  • Oral and written communications skills
  • Preferred knowledge of KSC
  • Must be able to work a flexible schedule – nights, weekends, holidays, etc when necessary

Salary Range: Dependent on experience; $21.57 – $24.82 ($44,862.21 – $51,622.21 annual)

Tour Coordinator

Summary of Duties: The position shall provide support to the Directorate for special guests visiting KSC.

Specific duties:

  • Receive initial evaluation and collect guest requests via email, on-line application, phone, verbal or fax. Note: Tour requests shall be screened against criteria established in the KSC Official Tour Policy, KDP-KSC-P-1867.
  • Plan, coordinate, and prepare visitor itineraries to include: identifying and scheduling tour escorts; scheduling transportation; obtaining security and export control screening, coordinating with the Chief Test Conductor Office for access to controlled facilities; setting-up on site briefings; preparing Official Tour Request package; arranging for special badges; presenting the final products to Communication and Public Engagement for review and approval
  • Serve as liaison to Gratuitous Service Program coordinator for integration of requirements for access to operational areas and ensure adherence to policies and procedures.
  • Maintain an electronic database and official hardcopy records of all visits and media projects, including names of the visitors, affiliation with the Agency, name of the requesting or sponsoring group, date of the visit, purpose of the visit, security and export control approvals (as applicable to foreign national guests), itinerary and other pertinent information.
  • Greet escorts and groups upon arrival at KSC; issue bus credential/placards to escorts and track return after tour completion; issue guest information packets and other applicable information at start of visit.
  • Prepare letters, records, itineraries, charts, logs and reports in various categories as required including preparation of a weekly report for all tour and media projects activity and monthly metrics.
  • In support of launch guest operations, assist NASA Public Affairs Specialists in preparation of Agency special group itineraries. Prepare and analyze the “Tour De-conflict Table” for facility/non-facility tour access and maintain the Special Group Worksheet to integrate all VIP guest activities.
  • Assist with various ancillary responsibilities to include, but not be limited to: escorting tours; assist with identifying and scheduling a large volume of escorts for L-2, L-1 and launch day activities; assisting with guest requests for logistics support; and prepare appropriate requirements documents necessary to support guest activities.
